Chapter 2
Export Documentation
Documents drive trade
International trade runs on paperwork. The right export documents ensure customs clearance, payment, and delivery. Errors cause delays, demurrage and payment disputes.
The core commercial documents
The commercial invoice states goods, value and terms. The packing list details contents, weights and dimensions per package. Together they underpin customs declarations and buyer verification.
Transport and origin documents
The Bill of Lading (BL) (for sea) or Airway Bill (AWB) (for air) is the carrier's receipt and document of title that the buyer needs to claim the goods. The Certificate of Origin (COO) certifies where goods were produced — essential for claiming preferential duty under trade agreements (e.g., via the DGFT COO portal).
Payment and regulatory documents
Depending on terms, a Letter of Credit (LC) or bank documents govern payment; the Shipping Bill is the key customs export document filed on ICEGATE; and an e-BRC (electronic Bank Realisation Certificate) evidences receipt of export proceeds — needed to claim incentives. Mastering this documentation set is fundamental to smooth exporting.
